RFQ email
A hotel furniture RFQ template helps owners, developers, designers and procurement teams turn a design package into a request that manufacturers can price consistently. If your project already has room layouts or a furniture schedule, the next challenge is usually not finding another supplier. It is sending each supplier the same measurable information so their prices can be compared without repeated questions.
This guide provides a practical document checklist, an example bill of quantities (BOQ), a copy-ready enquiry email and a comparison method. You can use it for guestrooms, suites, restaurants, lobbies and other hotel areas. The goal is a clearer first quotation, not a promise that every design detail can be priced before technical review.
For an accurate hotel furniture request for quotation, send the project brief, itemized BOQ, furniture drawings, finish and material schedule, room-type quantities, performance requirements, delivery location and quotation instructions. Mark anything not yet confirmed. Ask suppliers to disclose assumptions and exclusions instead of filling gaps silently.
Why Hotel Furniture Quotes Become Inconsistent
Two manufacturers may receive the same interior rendering yet return very different prices. One might assume laminate, another natural veneer. One includes export packing; another leaves it out. A supplier may count one bedside table per room while the design requires two. These are scope differences, not necessarily evidence that one supplier is better or more expensive.
An effective RFQ sets the comparison baseline before price discussions begin. It identifies each item, establishes what is known, and makes the unknowns visible. This matters particularly with custom hotel furniture, where the cost depends on construction, finish, upholstery, hardware, tolerances, quantities and project services—not just appearance.
If your budget is still being established, first review our hotel furniture cost per room guide. A planning allowance and a supplier's itemized offer serve different purposes.

01Start with a one-page project brief
Include the hotel name or a confidential project reference, country and city, hotel positioning, new-build or refurbishment status, anticipated guestroom count, target opening or installation window, and the decision-maker's contact details. Divide the scope into guestroom loose furniture, fixed joinery, public-area seating and other relevant packages. State which categories are excluded, such as lighting or OS&E, unless your RFQ explicitly includes them.
An operator's design standard can be important, but do not assume sending a brand name alone gives the manufacturer access to that standard. Attach the relevant approved specifications you are authorized to share. When confidentiality applies, request an NDA before transmitting sensitive plans.

02Build a line-by-line BOQ rather than a photo collection
A BOQ is the backbone of a useful hotel furniture RFQ package. Assign a stable code to every furniture type; link that code to drawings, reference images and material sheets. For made-to-order pieces, specify width × depth × height, the measurement unit and whether dimensions are approximate or approved.
Illustrative BOQ excerpt — not a live project quotation
| Item code | Description | Dimensions (mm) | Quantity | Material / finish | Drawing ref. |
|---|---|---|---|---|---|
| GR-101 | Upholstered headboard | 2000 × 80 × 1250 | 120 pcs | Fabric F-01; wood backing | A-401 Rev B |
| GR-102 | Bedside table | 500 × 420 × 520 | 240 pcs | Walnut-look veneer V-02 | A-402 Rev B |
| GR-103 | Writing desk | 1200 × 550 × 750 | 120 pcs | Laminate L-03; metal base | A-403 Rev A |
| PA-201 | Lobby lounge chair | 780 × 800 × 820 | 16 pcs | Upholstery F-05 | ID-210 Rev C |
These illustrative quantities assume 120 guestrooms with two bedside tables each; your own room mix may be different. Include item images only as a reference, not a substitute for critical dimensions or specifications. Ask suppliers to return their pricing against the same item codes, including units, unit prices and line totals.
03Attach drawings with clear revision control
Send the latest available general arrangement plans, furniture elevations, sections, joinery details and relevant interface drawings. Fixed headboards, wardrobes and minibar cabinets often require additional information about wall conditions, skirting, sockets, ventilation, door swings and site dimensions. Mark drawings “for quotation” if they have not been approved for manufacture.
A simple drawing register should record the document number, title, revision and issue date. If a supplier identifies conflicting dimensions, request a clarification rather than allowing it to choose one. Later, approved shop drawings and mock-ups should become production control documents; our hotel furniture prototyping guide explains why that distinction matters.
04Define materials, finishes and performance needs
“High-quality wood” or “hotel-grade fabric” is not specific enough for reliable costing. Describe the substrate, visible finish, edge treatment, construction expectations, hardware grade, upholstery composition, and any approved color or finish code. Identify whether leather is genuine or synthetic, whether stone is natural or engineered, and which components will be exposed to heavy cleaning or moisture.

State the destination market and project-specific testing or documentation requirements for upholstery, fire performance, emissions and structural durability where applicable. Requirements vary by country, use, local regulations and operator specifications. Do not treat a generic certificate or a test report for a different material combination as proof of compliance. Ask each supplier what evidence it can provide for the proposed construction and materials.
When a specification is not finalized, allow a base option and clearly labelled alternative. For example, request one price for the specified veneer and a separate value-engineered laminate option. Never allow an alternative finish to be substituted without being visible in the offer.
05Reconcile room counts and repeated items
A room-type matrix is essential when a hotel has king rooms, twins, accessible rooms and suites. List the number of each type, then multiply the per-room item quantities by the number of applicable rooms. Keep public-area totals separate from guestroom repeats.
For instance, 90 king rooms and 30 twin rooms do not necessarily use the same bed base, headboard or bedside arrangement. If an item is shared across room types, use one item code only when its specification is identical. This avoids double-counting and helps a factory assess batch quantities, production setup and material purchasing.
06Specify commercial and logistics terms
A custom hotel furniture quote is only useful when you know what the price includes. Request the currency, quoted unit, payment proposal, quotation validity, sampling or mock-up charges, production lead-time assumptions, packaging method, warranty scope and estimated shipping volume where available.
For international sourcing, specify the requested Incoterms® rule and named place, such as FOB at an agreed port or DDP at an agreed destination, and confirm the rule version used. Clarify whether freight, insurance, destination duties, taxes, customs clearance, unloading and installation are included. Do not compare an EXW factory price directly with a delivered price.
Provide a target date for material approvals, mock-up review, production release, shipment and on-site need. A requested delivery date does not automatically establish a feasible factory lead time; see our hotel furniture lead-time guide for the steps that must be coordinated.

How to Organize the Hotel Furniture RFQ Package
Create a shared folder or compressed package with clear names and a single current revision. A practical structure is:
Hotel-Project-RFQ-Rev01/
00-Read-Me-Project-Brief.pdf
01-BOQ-Furniture-Schedule.xlsx
02-Room-Type-Quantity-Matrix.xlsx
03-Drawings-and-Register/
04-Materials-Finishes-Specifications/
05-Reference-Images/
06-Compliance-and-Operator-Requirements/
07-Quotation-Instructions.xlsx
08-Questions-and-Clarifications.xlsx
Name files consistently and avoid circulating competing versions over multiple message threads. Keep a single clarification log with the question, responsible party, agreed response and decision date. When sending the same RFQ to several factories, distribute approved clarifications to all of them before the bid closes.

What If Your Documents Are Incomplete?
You can still request a budgetary estimate if you have a credible scope, approximate dimensions, quantity range and representative materials. Label it as preliminary and ask the supplier to list the allowances and assumptions used. Do not present that estimate to your team as a fixed procurement price.
Sort outstanding questions into three groups: price-critical (material, size, quantity), production-critical (joinery, hardware, interfaces, approvals), and delivery-critical (packing, shipping and site conditions). Resolve price-critical gaps first, then update the RFQ revision. ChiuChiu Furniture's Project Quotation & BOQ Review Service describes an initial general price-range review and a separate detailed document review/quotation service; check the service page for its current scope and charges.
What Happens After Suppliers Respond?
First, log clarifications and check whether each supplier priced the full scope. Second, review samples and material proposals with the designer and operator. Third, agree the mock-up and shop-drawing approval process. Only then should the parties freeze the approved specification, confirm the commercial agreement and set a realistic production release date.

For projects sourcing from Foshan, ChiuChiu Furniture supports made-to-order hotel furniture and project coordination from document review through sampling, manufacturing and shipment planning. You can also use the project inquiry form to introduce your project requirements. Sharing a clear RFQ is the fastest way to establish what can be quoted now and what still needs technical confirmation.
Frequently Asked Questions
What does RFQ mean in hotel furniture procurement?
RFQ means request for quotation. It is a structured invitation asking suppliers to price a defined furniture scope under stated technical and commercial conditions. It differs from a broad request for supplier information or a concept-stage design proposal.
Can I request a quote using only renderings?
You may receive an indicative budget range, but a rendering alone rarely defines dimensions, substrates, hardware, upholstery construction, quantities or packaging. Provide a BOQ and annotated drawings before expecting item-level, comparable pricing.
What is the difference between a BOQ and an RFQ?
The BOQ lists measurable items and quantities. The RFQ is the wider purchasing package: BOQ plus design information, material requirements, project context, commercial instructions and the response format.
Should I request EXW, FOB or DDP pricing?
Choose a term that matches your purchasing and logistics capabilities, and specify the named place and applicable Incoterms version. You can request a factory-price baseline plus a separately priced logistics option, provided each supplier states its inclusions clearly.
How many suppliers should receive an RFQ?
There is no universal number. Invite a manageable shortlist of qualified suppliers that can handle the product scope, project documentation and delivery destination. A smaller number of complete, comparable quotations is often more useful than many incomplete prices.
Can one RFQ cover guestroom and public-area furniture?
Yes. Separate the BOQ into areas or work packages, because bespoke lobby seating, repeated guestroom casegoods and fixed millwork may have different specifications, lead times, suppliers and approval routes.
Request a More Accurate Hotel Furniture Quotation
A successful RFQ does not eliminate every question. It makes the important questions visible early, before they become pricing surprises or production changes. Begin with a consistent BOQ, defined materials, controlled drawing revisions and transparent delivery assumptions. Then ask each supplier to price the same scope and declare exceptions.
