Hotel Furniture BOQ Template: Room-by-Room Quantity Guide

ChiuChiu Furniture / Procurement Guide

Build a clear furniture schedule, room by room.

Hotel furniture RFQRoom-by-room BOQFF&E planning

A hotel furniture BOQ template should list each item by room type or area, with its code, specification, quantity and unit. Record dimensions, materials, finishes and drawing references alongside the quantities. Add quotation instructions and delivery requirements when using the BOQ as part of a hotel furniture RFQ.

This guide includes a worked quantity example, a reusable BOQ column structure and a specification checklist you can adapt for your project.

For hotel owners, interior designers and procurement teams. All quantities, dimensions and item codes below are illustrative; adapt them to your approved project documents.

What is a hotel furniture BOQ?

A hotel furniture bill of quantities is an itemized schedule of the furniture required for a hotel, organized by room type or area. It connects each item to a specification, unit of measurement and quantity, so the buyer and supplier can identify exactly what is being priced.

The BOQ usually forms part of a larger request for quotation. It does not replace detailed drawings, material approvals or the agreed supply contract.

Three related documents, with different jobs
Document Main purpose Typical contents
BOQ — Bill of Quantities Define what is required and how much. Room or area, item code, description, unit, quantity and specification reference.
RFQ — Request for Quotation Ask suppliers to price an agreed scope. BOQ, drawings, specifications, delivery requirements, response deadline and commercial terms.
FF&E schedule Coordinate furniture, fixtures and equipment. Item details and, as needed, supplier, approval, procurement and delivery status.

Project terminology varies. Confirm whether your furniture package includes fixed joinery, mattresses, lighting, accessories or installation. An FF&E schedule may cover more than the furniture manufacturer's scope. ChiuChiu's hotel FF&E quotation support provides a starting point for discussing the furniture package.

How do you calculate hotel r- BOQ example: 80 king rooms need 160 bedside tables and 50 twin rooms need 100, totaling 260 BST-01 pieces.oom furniture quantities?

Start with a confirmed room schedule. Multiply the quantity of each item per room by the number of rooms that use that exact furniture specification. Keep different room types and variants separate until their quantities have been checked.

The quantity rule

Base quantity = quantity per room × applicable room count

Order quantity = base quantity + approved additional pieces. Record spares and mock-up items separately so they are not counted twice.

Example room schedule — 200 rooms in total
Room type Number of rooms
Standard King 80
Standard Twin 50
Deluxe King 40
Junior Suite 20
Executive Suite 10
Selected furniture rows — illustrative extract, not the complete 200-room BOQ
Room type Item code Furniture item Qty / room Rooms Base qty (pcs)
Standard King BST-01 Bedside table 2 80 160
Standard King DSK-01 Writing desk 1 80 80
Standard King LUG-01 Luggage bench 1 80 80
Standard Twin BST-01 Bedside table 2 50 100
Standard Twin DSK-01 Writing desk 1 50 50
Deluxe King BST-02 Bedside table — alternate specification 2 40 80

On smaller screens, scroll the tables horizontally to see every column.

In this extract, BST-01 totals 160 + 100 = 260 pieces, provided both room types use the same specification. BST-02 remains a separate line with 80 pieces. The 160-piece King-room subtotal must not be mistaken for the total project requirement.

Check exceptions before multiplying

Accessible rooms, connecting rooms and layouts with different dimensions may need separate rows. Confirm the actual layout: a twin room does not automatically require two bedside tables. If mock-up furniture will later be installed in saleable rooms, agree how it is counted before adding it to the order.

Use one item code across every document

A furniture item code identifies a specific design and specification. Use the same code on the BOQ, quotation, drawing, sample label, inspection record and packing list. This prevents descriptions such as “nightstand,” “bedside cabinet” and “bedside table” from creating duplicate or ambiguous entries.

  • BST-01: the standard bedside table used in the worked example.
  • BST-02: a different bedside table specification for Deluxe King rooms.
  • DSK-01 / LUG-01: writing desk / luggage bench.
  • SOF-01 / DT-01: sofa / dining table, with their locations recorded separately.

Keep the item code stable when tracking revisions, and use a separate revision field such as Rev A or Rev B. If two sizes, finishes or handed versions will be ordered at the same time, assign distinct variant codes or suffixes. Do not overwrite one version with another under an identical reference.

BST-01 links the same bedside table across a BOQ sheet, furniture drawing, sample tag and packing label.

Hotel furniture BOQ template: fields to include

Use one row per item specification and room type or area. For a manageable workbook, separate the room schedule, detailed BOQ, specifications and supplier quotation comparison into individual sheets connected by item code.

Core fields for a room-by-room furniture BOQ
Field group Columns to include What to clarify
Location Room type, area, floor / phase where applicable Exactly which rooms or spaces receive the item.
Identity Item code, item description, specification revision A unique reference for each concurrently ordered variant.
Size Width, depth, height, dimension unit The dimension order, tolerances and any site measurement required.
Construction Core / frame, surface material, finish, upholstery, hardware Specified materials and whether substitutions are permitted.
Quantity Unit, qty / room, room count, base qty, additional qty, order qty Pieces versus sets; spares and mock-up allocation.
References Drawing number, drawing revision, finish / sample reference The exact document and approval status used for pricing.
Requirements Performance / test requirement, installation scope, packing notes Applicable project requirements and who supplies each service.
Control Clarification, approval status, responsible person Open questions and the person who must resolve them.

Copyable starter column list

Copy this comma-separated header into a spreadsheet and split it into columns. Add technical fields from the table above as your specification develops.

Room Type,Area,Item Code,Description,Unit,Qty per Room,Room Count,Base Qty,Additional Qty,Order Qty,Width mm,Depth mm,Height mm,Material,Finish,Drawing Ref,Drawing Rev,Sample Ref,Spec Status,Remarks

With this exact column order, the first data row uses H2 = F2 × G2 for base quantity and J2 = H2 + I2 for order quantity. In a spreadsheet, enter =F2*G2 and =H2+I2. For public areas, use an explicit area allocation; only use an area count of 1 when it accurately represents that row.

Extend the BOQ into a hotel FF&E schedule

Add supplier, quotation reference, currency, unit price, line total, approval status, sample status, production status and planned delivery date. Keep estimated dates separate from confirmed dates, and retain the location breakdown when preparing a consolidated order summary.

Add the details that determine the quotation

A quantity and a reference image are rarely enough to define a custom furniture price. Two similar-looking pieces can differ in core material, veneer, edge treatment, hardware, upholstery and construction. State the required specification and ask the supplier to flag anything that remains unconfirmed. If the design is still developing, review the scope of custom furniture project review before requesting production pricing.

Illustrative BST-01 bedside table with plywood, wood veneer and soft-close drawer runner samples.

Example specification: BST-01 bedside table

Dimensions
600 W × 450 D × 550 H mm — example design dimensions.
Construction
Plywood core with natural wood veneer; thicknesses and construction details to follow the referenced drawing.
Finish
Matte clear lacquer; finish reference WN-03, subject to sample approval.
Hardware
Soft-close drawer runners; specify the manufacturer / model or require the proposed equivalent to be identified.
Quantity
260 pcs in the worked extract: 160 for Standard King rooms and 100 for Standard Twin rooms; no additional pieces included.
Drawing
A-302, Rev A — illustrative reference.
Open items
Confirm material thicknesses, final hardware, finish sample and any cable-management or electrical interface before production approval.

Use the wood material reference library to discuss material options, then record the selected construction in the specification. “Wood finish” alone does not identify whether the item uses solid wood, veneer or another surface.

For upholstered furniture, add fabric or leather reference, color, upholstery construction and the performance requirements supplied by the project team. Where testing is required, state the applicable test method, edition, intended application and required evidence. A generic “fire-retardant” label is not a complete project specification.

Separate lobby, restaurant and meeting-room furniture

Public-area quantities should come from the relevant layout, rather than the guestroom count. Record the area and drawing reference, and check each seating arrangement, table size and configuration.

- Illustrative lobby seating, restaurant tables and chairs, and meeting-room furniture grouped by procurement area.

  • Lobby and lounge: list sofas, lounge chairs, coffee tables, side tables and consoles by location. State whether a sectional sofa is quoted per complete configuration or per module.
  • Restaurant and bar: separate dining tables by size or seating capacity, and distinguish dining chairs from bar stools. Identify fixed banquettes and service counters if included.
  • Meeting rooms: record conference tables, chairs and storage, including any requirements for folding, linking, stacking or cable access.
  • Outdoor areas: keep outdoor items separate and specify the intended exposure and materials required by the project.

When an identical item appears in several areas, retain each area allocation and create a separate item-code summary for ordering. This keeps the total traceable to the layouts.

What should you send with a hotel furniture RFQ?

Send a coordinated set of documents with a clear revision and response deadline. Ask every supplier to acknowledge the same package, list missing information and separate proposed alternatives from the specified option. For the wider submission process, use our hotel furniture RFQ checklist alongside this quantity-planning guide.

  1. Project brief: location, room count, areas in scope, project stage, delivery phases and quotation contact.
  2. BOQ: editable spreadsheet with room or area allocations, item codes, quantities and units.
  3. Drawings: furniture layouts and available plans, elevations, sections and detail drawings, with revision references.
  4. Material and finish schedule: construction, upholstery, hardware and finish references, with approval status.
  5. Reference images: linked to item codes and labeled as design intent where they are not production specifications.
  6. Performance requirements: project-specific testing, documentation and acceptance criteria.
  7. Delivery and installation scope: destination, target on-site date, access constraints, packing labels, unloading, assembly and installation responsibilities.
  8. Quotation instructions: currency, unit prices, line totals, validity, payment milestones, lead-time assumptions and separately priced exclusions or options.

Identify the agreed delivery basis and named destination or port. Ask suppliers to separate goods, packing, transport and installation where relevant. ChiuChiu's furniture delivery information can help frame the delivery discussion; confirm the actual scope for your quotation.

Compare the same scope before comparing prices

A lower quotation may reflect a different material, a missing item or a narrower delivery scope. Check each supplier's response against the issued BOQ before comparing totals.

Quotation comparison checks
Check What should match or be explained
Items and quantities Same item codes, variants, units and order quantities; omissions explicitly identified.
Specifications Same dimensions, materials, finishes and hardware, with alternatives separately stated.
Price basis Currency, unit prices, line totals and clear treatment of samples, packing, freight, taxes and installation.
Schedule Quoted lead time, start conditions, sample approvals, production duration and delivery assumptions.
Quality and handover Inspection scope, required records, packing labels and an agreed process for reporting shortages or damage.

Common BOQ mistakes to catch before issue

  • Totals without locations: retain the room or area breakdown so quantities can be checked.
  • Mixed units: define what a “set” contains and avoid adding sets to individual pieces.
  • Unspecified dimensions or materials: mark them as open questions instead of letting suppliers assume different solutions.
  • Duplicate spares or mock-up items: show their allocation separately and agree whether they are additional.
  • Conflicting revisions: issue a drawing register and revision log; request written clarification when drawings and the BOQ disagree.
  • Unapproved changes: record quantity or specification changes and their price and schedule effects before authorizing them.

For inspection planning, review ChiuChiu's furniture quality control process and include the inspection stages and records you require in the agreed project scope.

Keep the BOQ connected to production and delivery

After quotation, the BOQ remains a quantity and identity reference. Before production release, reconcile it with approved shop drawings, finish samples, mock-up decisions and the final order.

- Six-stage BOQ workflow: review, quotation, approvals, production, inspection and packing, then delivery reconciliation.

  1. Review and clarify: resolve missing details and drawing-to-BOQ discrepancies.
  2. Confirm the quotation: align quantities, specification revisions, exclusions and responsibilities.
  3. Approve drawings and samples: record dimensions, materials, finishes and construction decisions.
  4. Release production: issue the approved schedule and track subsequent changes.
  5. Inspect and pack: connect inspection records and packing labels to the item code and destination area.
  6. Receive and reconcile: check delivered quantities against the packing list and agreed order.
Keep one controlled record

Maintain a revision date, change description and approval record. Archive superseded versions so the buyer, designer and supplier can identify the current issue without relying on scattered email attachments.

Hotel furniture BOQ and RFQ: common questions

What is the difference between a BOQ and an RFQ?

A BOQ lists the items, quantities and specification references. An RFQ asks suppliers to price that scope and includes the drawings, delivery requirements and quotation instructions. The BOQ is usually one part of the RFQ package.

What should a hotel furniture RFQ template include?

Include room types or areas, item codes, quantities and units, dimensions, materials, finishes, drawing references and open questions. Add project location, delivery scope, response deadline, currency and instructions for stating assumptions, exclusions and alternatives.

Can the same item code appear in different room types?

Yes, when it identifies exactly the same specification. Keep separate room-type allocations and summarize them by item code. Use a distinct code or variant suffix when size, finish, construction or handedness differs.

How many spare furniture pieces should a hotel order?

There is no single spare quantity that suits every project. Agree additional pieces with the owner or operator based on the item, replacement lead time, maintenance needs and storage space. List the approved allowance separately from the base room quantities.

Do I need a complete BOQ before contacting a furniture supplier?

No. An early discussion can start with room counts, layouts, reference images and an outline scope. Mark unresolved details clearly. A firm item-by-item quotation needs a sufficiently defined quantity and specification basis.

Can ChiuChiu Furniture help review a hotel furniture BOQ?

ChiuChiu offers a furniture document review service covering BOQs, drawings, materials and missing information relevant to quotation. Review the current service scope and terms on the BOQ service page, then prepare your available project documents for discussion.
